Sky Marketing partnered with FatGalah to develop a custom tender and contract management platform designed to streamline the management of Government and Corporate contracts while creating the operational capacity to take on significantly more business.
Over a six-year period, Sky Marketing grew from managing 2 major contracts/tenders to 21, supplying customers across Automotive, Retail, Electrical, Liquor and major chain organisations.
The platform combined a high-performance eCommerce system with custom tender portals, automated workflows, product management, staff allocations, reporting and accounting integrations.
As Sky Marketing secured more contracts and tenders, the administration required to manage each customer increased significantly.
Each contract could involve different:
Managing these processes manually created additional administration and made it increasingly difficult to scale without adding more staff.
Sky Marketing needed a system that could handle the complexity of multiple contracts while making each new portal faster and easier to establish.
FatGalah was engaged to develop a flexible platform that could centralise and automate the processes involved in managing Government and Corporate contracts.
Key requirements included:
FatGalah undertook a detailed discovery and process review to understand how Sky Marketing managed its existing contracts, orders, products and customer requirements.
Rather than treating each tender as a separate system, the objective was to create a centralised platform that could be reused and configured for different customers and contracts.
This allowed products, pricing, categories, staff allocations and ordering processes to be configured specifically for each portal while maintaining a common underlying platform.
The system was designed to automate repetitive administrative processes and allow Sky Marketing to manage increasing contract volumes without administration growing at the same rate.
FatGalah developed a custom PHP-based platform incorporating a central eCommerce system and multiple configurable tender and contract portals.
Products could be transferred from the main shopping cart into individual portals, with each portal able to have its own:
A portal duplication function also allowed existing portal structures to be replicated when establishing new contracts, significantly reducing the time required to create and configure new customer environments.
The platform was integrated with the accounting system to automatically synchronise invoice information.
Individual portals could control whether synchronisation was enabled, allowing Sky Marketing to maintain different product ranges and configurations for different customers.
This reduced the need to manually maintain products across multiple systems and helped keep contract portals aligned with the central product database.
The impact was significant.
Over a six-year period, Sky Marketing increased the number of major contracts and tenders it was managing from:
This represented a substantial increase in contract capacity across customers in Automotive, Retail, Electrical, Liquor and major chain organisations.
The platform provided the operational infrastructure required to support this growth without each new contract requiring a completely new manual process.
Sky Marketing was able to manage a significantly larger portfolio of contracts and tenders through a centralised platform.
Existing portal structures could be duplicated and configured for new customers, reducing the work required to establish each new contract.
Automated product synchronisation, ordering, approvals, notifications, reporting and accounting integration reduced repetitive manual tasks.
Each customer portal could have its own products, pricing, allocations, users and processes while remaining connected to the central platform.
The system allowed Sky Marketing to increase its contract base without administration increasing at the same rate.
The platform supported contracts across Automotive, Retail, Electrical, Liquor and major chain organisations, demonstrating its flexibility across different customer requirements.
The Sky Marketing project demonstrates how the right technology infrastructure can become an enabler for business growth.
Rather than simply creating another online ordering system, FatGalah built a platform that allowed Sky Marketing to standardise, automate and replicate the processes required to manage multiple contracts and tenders.
The result was a system capable of supporting the transition from 2 contracts to 21 over six years, while providing the flexibility to continue adding new customers, products and contract requirements.
The objective was not simply to process more orders.
It was to create the infrastructure that allowed Sky Marketing to take on more contracts, manage more customers and increase its capability without adding administration at the same rate.
